Learning Series: What FAQs Do I Need?

Your awards website is the central hub for your program. As such, it should be the place where you’re able to direct entrants when they have questions so that each entrant doesn’t contact you individually.

So, why do so few awards programs include FAQs on their websites? For most, it’s because they’re unsure of which questions they should include.

In this article, we’ll discuss:

  • Why FAQs matter; and
  • How to come up with FAQs for your awards program

Feature Spotlight: Program Notes

There’s a lot of information to keep track of throughout your awards program. Before, you would have to do so in Google docs or, even in Word docs. However, this approach is unorganized and often means that you lose track of documents and the essential information they contain along the way.

Now, there are program notes to keep you organized.

Feature Spotlight: Move Fields Around the Form

We’ve all been there: You finish a form and, after looking through the pages, realize that you wish you had put the information on one page instead of on another. Unfortunately, this used to mean you had to rebuild your entire form, compromising hours or days of work in the process. Now, you don’t have to.

Feature Spotlight: View Invoices in the Platform

Invoicing is a part of paying for awards software. However, it can be tedious to keep track of past invoices, upcoming invoices, or perhaps even past-due invoices.

Now, OpenWater allows you to view all invoices - whether past, present, or future - in your dashboard. This makes it simple to access and organize key information while always being alert as to what’s next.

Feature Spotlight: Validations

All entries must be validated prior to submission. But, who’s to say how you should do this for your program and what makes the most sense for your entrants?

In many awards software systems, there is only one method of validation. Here at OpenWater, we have two to add greater flexibility to your system and to better meet your organizational needs.

Feature Spotlight: Creating Question Banks

Last week, we published an article about form field templates and how you can use the same templates for multiple forms to streamline processes and save money. While we often refer to this feature as “form field templates,” others refer to it as “question banks.”

While all the features in OpenWater are helpful, this is one not to be downplayed. In fact, this feature has saved our customers over 1,000 hours of labor in the last two months and for that reason, it’s worth covering again.

Read on to learn:

  • How the feature works; and
  • How to customize your question banks

Feature Spotlight: Creating Form Field Templates

Most awards programs face the same issue: Many forms require the same information and yet, you’re stuck creating custom templates for each. This is a waste of time and resources and quite frankly, it’s frustrating.

If your program works with many forms that require the same information, the new form field template feature from OpenWater allows you to create one template that you can then use on all your forms. This saves tens of hours of work for most organizations and below, we’ll discuss:

  • How the feature works; and
  • What you can do to customize your forms

Feature Spotlight: Allow People to Make Edits on Their Own

There’s always going to be a situation where a user needs to edit their entry after submission. Chances are you’ve had to confront this issue at one point or another and when you did, you likely used our manual process to reopen an entry and permit the user to make changes.

But, what if you have 100 users who need to edit their entry? It would consume a lot of time manually reopening that many entries and having to figure out which actually needed reopening from the hundreds or thousands of submissions you’re likely to receive.

Our automatic submission editing tool answers these problems by removing the “per entry” part of the process and allowing any user to edit their entry as needed. Read on to learn:

  • Why you need an automatic submission editing function; and
  • How to begin using the new feature for your program

Feature Spotlight: Native Bulk Downloader for Windows and Mac

Most awards programs require entrants to submit some sort of media with their entry whether it be a PDF, image, audio, or video file. At the end of the call for entry, chances are you’re going to go through each submission, extracting these files in preparation for judging or to send them to another resource in connection with your program (for example, to put together a winner’s guide).

This can be time consuming and might mean you accidentally miss a file. With the bulk downloader, this is no longer a problem.

In the past, you could download files straight from OpenWater to DropBox. Our newest (free) upgrade allows you to use a Windows or Mac App to download files. Most importantly, the new upgrade also allows you to choose download options so everything is customized to your unique specifications. Read on to learn:

  • What you need to use our new bulk downloading software; and
  • How you can customize your download

Feature Spotlight: Ranking Entry Judging

Countless organizations have submissions that are judged based on a rubric. Doing so makes sense because judges can look over the criteria being used and subsequently score entries one at a time. This means ties are possible. But, what if you want to judge and rank entries against one another?

OpenWater’s newest feature, Ranking Entry Judging, makes this possible. Read on to learn:

  • What ranking entry judging is; and
  • Features within ranking entry judging
